Our safety commitment

Every Edwin Doran sports tour is built on three foundations:

  • Comprehensive safety planning
  • Rigorous supplier standards
  • Round-the-clock on-tour support

From accommodation and transport to fixtures, activities and excursions, every aspect of your tour is checked, audited and approved.

Safety Management System (SMS)

We operate under a fully documented SMS, aligned with industry best practice and independently reviewed. This includes:

  • Risk identification and mitigation
  • Crisis communication procedures
  • Incident management frameworks
  • Supplier safety auditing

All staff, suppliers and third-party partners are required to follow this system for every tour.

Accommodation & transport standards

All providers must:

  • Hold correct licences and insurance
  • Pass our safety checklists
  • Meet fire safety and food hygiene regulations
  • Follow strict driver hours and transport regulations

Audits cover security, cleanliness, maintenance and emergency procedures.

Excursions & activities

From ziplining to cultural tours, all activities are checked using our internal guidelines. Higher-risk activities require enhanced documentation and supplier compliance.

  • A detailed Step-by-Step Guide to Risk Assessment
  • All required supporting documents
  • Advice aligned with OEAP and Visit Leader guidance
  • Example templates and school-ready documentation

Tour leaders can also find support in our Teachers’ Hub, and parents can access clear guidance in our Parents’ Hub.

Medical, dietary & allergy support

We work closely with group leaders to support health needs, including:

  • Allergy and dietary requirement handling
  • Medical conditions and medication guidance
  • Assistance with documentation
  • Clear communication with suppliers and hotels

24/7 on-tour assistance

You’re never alone. Every group receives:

  • A dedicated emergency number
  • Worldwide operational support
  • On-the-ground help from local partners
  • Clear escalation and incident procedures

These details are included in the Tour Manager’s Final Documentation Pack before departure.
