When as a School, Club or University you decide that you want to put a tour together, it can seem like a long and daunting task. Here at Edwin Doran we are experts in helping tour managers and tour committees when it comes to lightening the load, whether it be writing the risk assessment for tour or fund-raising.

Preparation

Contact us by phone, email or via the website and one of us will be able to discuss and advise you on your touring ambitions.

We can also come to the school to have a face to face meeting with you about your touring plans.

We will create a detailed tour proposal including an itinerary and cost estimate.

Promotion

Once you have the tour details, promote it to the players and supporters (parents). We can help by coming in to the school and doing a parents presentation evening with you.

Fund raising events can considerably reduce the overall cost, we can offer suggestions.

Finalise numbers, fill in a booking form and collect tour deposits for each person travelling and send back to us.

Administration

A specalist tour operator will be assigned to you who will be operating the tour. They have detailed knowledge about your destination and operating is their full time job.

Send through the tour party list and a copy of each tourist’s passport.

You will have the opportunity of a meeting with your operator to iron out any queries that you might have.

Collect the final payment from all the tourists 12 weeks prior to departure.

You will receive a tour pack with all the information you might need whilst on tour.

If you are going on a rugby tour, check with your RFU about insurance and permisson to tour.

On tour

Long haul tours will be met at the airport by an Edwin Doran representative who will assist you with check in.

On arrival you will be met by an Edwin Doran representative at your destination.

Enjoy your tour in the knowledge that if something doesn’t go to plan there is a person available to assist on the end of the phone 24/7.

On your return an Edwin Doran representative will be at the airport to assist you and find out how the tour went.
